Program Administrative Specialist - Justice Initiative

We are seeking a Program Administrative Specialist based in New York to join the Justice Initiative (JI) litigation team, with practical experience in managing and developing litigation support projects, who can provide a variety of legal operations and advanced administrative support to the Justice Initiative’s litigation team.

The Open Society Justice Initiative uses strategic litigation and other kinds of legal advocacy to defend and promote the rule of law and to advance human rights. We employ litigation, advocacy, research, and technical assistance across a range of issues. 
As a Program Administrative Specialist at Open Society, you will:

Maintain and update well-organized central electronic and hard copy litigation files and conduct periodic audit of the files as to ensure standards of professional conduct are met;
Maintain case and document management systems, including updating a litigation diary with details of all deadlines;
Organize, process, and prepare litigation documents including legal documents, case forms and correspondence;
Work with JI Litigators to ensure close collaboration among program staff, and convene cross-program working groups as needed to advance research and development and rapid response opportunities;
Assist in complex event planning and managing related travel, logistics, and budgets, liaising with vendors, administration, and legal departments as necessary, including monitoring and reporting on performance of tasks by external consultants;
General operational support such as: scheduling calls and meetings, taking minutes/notetaking; arranging staff and consultant travel, submitting travel authorizations, processing expense reports, handling invoice and reimbursement processes, and helping to keep the Justice Initiative website portal up to date. 

What we are looking for: 

Substantial legal operations experience, with at least 4 years practical experience with case and document management in a busy law practice or with an organization involved in litigation (Paralegal certificate, desirable);
Meticulous organization skills and high attention to detail, with ability to work independently and efficiently prioritize workflow and the ability to work effectively in a fast-paced environment;
In-depth knowledge of electronic legal research technology (LexisNexis, Westlaw) and demonstrated ability to manipulate electronic documents such as TIF, PDF and JPG formats;
High proficiency in Excel, Microsoft Office, and computerized Information Systems (CIS) and proficiency in data management and visualization platforms and databases (e.g. Salesforce, NetSuite, Foundation Maps, etc.);
Experience with record keeping, budget management, case management and finance administration;
Experience making administrative and procedural decisions and judgments on sensitive and confidential issues.
